To provide secretarial and administrative support to members of department and deal with all administrative issues


  • Type specialist/departmental correspondence including photo enquiries, expert and standard letters
  • Screen all telephone, fax and postal enquiries and respond where appropriate

  • Oversee the transport of sale property including pre-allocation of stock numbers.
  • Responsible for the management of sale filing, including Consignment Agreements and other contracts

  • Main contact for transfer of consignments to sale sites.

  • Process all pre and post sale related forms and manage all sales related procedures
  • Serve as primary liaison with internal support departments including Shipping and Client Accounts, Credit Control and VAT. Also non-specialist liaison with clients
  • Assist Head of Department and Specialists with financial issues relating to the sales

  • Act, where necessary, as administrative representative for the department
  • Type & set up drafts of valuations and proposals

  • Set up and/or follow up authentication procedures
  • Compose and edit correspondence, reports, memoranda and other material, and maintain client files
  • Possess a deep and intimate familiarity with all active and prospective clients and their collections, including anticipating and responding to their needs.
  • Work closely, efficiently, and effectively with other specialist departments including international and regional offices, external organizations, individuals, and institutions.

  • Maintain calendar and scheduling, including travel arrangements and appointment reminders.
  • Reconcile Amex and expense reports.
  • Organise and coordinate events
  • Perform other duties as assigned by Manager.



Qualification requirements

  • Strong Dutch/English/French litteracy
  • Computer literacy, especially Word and Excel packages

  • Able to manage time effectively and work under pressure to tight deadlines

  • Strong organisation skills
  • Ability to learn ARTHUIS intranet and website.

  • Excellent communication and interpersonal skills, including superior written and spoken communication.

  • Superior client service skills.

  • Ability to remain calm in stressful situations.

  • Demonstrated ability to multi-task and prioritize.

  • Strong follow-up skills with attention to detail.
